The Post-Holiday Email Blues

The last half of December is always a welcome break from nonstop email, with many people away from work and computers during the holidays spending time with friends and family.  I’m glad to count myself among that dec6jan3emailgroup this year!  ClearContext Online email statistics show that overall people received 1/3 to 1/2 less email than normal over the past couple of weeks. What a relief!

But now it’s 2010 and the first week of January brings with it a return to the normal avalanche of email – as well as a backlog of messages waiting for us.  That’s where ClearContext comes to the rescue!

A lot of the changes in ClearContext v5 are designed to make it faster than ever to clear out overloaded inboxes. Automatic highlighting of your important messages, one-click email filing, and project buttons help you stay on top of everything you need to get done.

It’s easy to let email take control of your day, but ClearContext lets you take control of your inbox!

ClearContext v5 Release Candidate 2 Now Available

Release Candidate 2 (v5.0.1) for ClearContext v5 is now available for download here.

As we posted earlier today, we identified one major issue in RC1 this morning.  We’ve fixed that problem and a few additional minor issues in RC2.  It appears only a small number of users were impacted, but if you installed RC1 and had any issues, please see this forum post or contact support@clearcontext.com for assistance.

Our official 5.0 production release will follow shortly, including updated user guide, other documentation, and information on upgrading.  In the meantime, please give the release candidate a try and post your feedback in the beta forum.

ClearContext Connect Members: You should have already received an email with your v5 Pro license key.  Please contact us if you haven’t received your key.

v4 users who purchased a pro license after August 1, 2009 will also be sent a v5 Pro upgrade key shortly.

Important ClearContext 5.0.0 RC Bug Advisory

We’ve identified an issue with ClearContext Release Candidate v5.0.0 that may cause some contacts to be deleted in certain Outlook configurations.  This issue can occur during Setup when upgrading from v4.6 and earlier.  It does not impact upgrades from Beta 2 to v5.0.0 RC.

For most Exchange users, switching to your Contacts folder and selecting Tools->Recover Deleted Items should allow any affected contacts to be restored.

If you have been affected by this issue, please email support@clearcontext.com as soon as possible for assistance.  We advise not to connect or sync Outlook with other PCs or devices before fully backing up your contacts from them.

We have pulled down the 5.0.0 build and will have a fixed release up as soon as possible.  Please wait for that build to install ClearContext v5.0.  Our sincerest apologies to anyone affected by this issue.

Managing Your Outlook Email Like Fred Wilson

Prominent VC/blogger Fred Wilson gets a ton of email.  In this blog post he describes how he “just spent four hours going through my inbox and taking it from 500 emails to zero.”

Fred uses Gmail, but the general techniques he uses to keep on top of email can be used by anyone. At ClearContext we’ve found techniques like these to be key parts in a successful email workflow process, and the MS Outlook team recently posted some similar thoughts on email best practices.

Here’s how ClearContext automates and enhances key pieces of these techniques to let Microsoft Outlook users take advantage of Outlook the way Fred uses Gmail – and get through the email even faster!

The first step Fred mentions is “quickly check off and delete all spam in my inbox at least once and ideally twice or three times a day.”

ClearContext highlights messages from known senders and VIP senders.  This lets you easily scan through all your unsolicited messages and quickly get rid of all your unwanted/unimportant email.  Features like AutoAssign and Unsubscribe automatically move all emails from specific senders or threads out of your inbox.

Fred’s next step is to “scan my inbox for emails from my top priorities; wife, family, partners, colleagues, portfolio, etc.”

This is another place ClearContext shines.   It automatically analyzes your email activity to highlight email from your most important contacts, so you can easily pick them out of the mass of email.

There’s one thing Fred wishes Gmail did better – highlight email from his most important contacts. “I can’t for the life of me understand why they don’t build a tool to source up all of those emails automatically. Please build that feature google.”

We’ve already built that for Outlook users by not only highlighting email from the most important people in your life, but also providing optional views that can move those messages to the top of your inbox!

Fred mentions a few other points in Gmail that he loves.  “Send and archive is so awesome”

We agree. The File Original Message” feature in ClearContext lets you automatically move messages out of your inbox once you reply to them.

Like many people, Fred is a fan of Gmail’s conversation threading and writes “now i love it and could not do email without this feature”

In ClearContext we provide two ways to take advantage of conversation threading (and other features slowly inching their way into Outlook). First, we provide a threaded view that groups messages in a conversation together in your inbox.  Additionally, MessageContext adds an expandable pane to each email to display other messages in the thread.

There’s one place where Fred differs from most of our users. “i’ve never used a to do list… it’s not part of my routine”

However, I’m sure he does use a calendar. For both of those things, one-click task and schedule buttons convert emails into to-do items and calendar entries. The emails can be moved out of your inbox, while still maintaining a link from your to-do list or appointments to the original email thread.

ClearContext v5: Prioritization & Views

We’re making ClearContext simpler, faster and smarter.  Last week we discussed v5 single-click filing.  This week we’re writing about message prioritization.

Email prioritization has been a core feature of ClearContext.  For v5, we are reworking message prioritization to make it easier to understand with less setup and processing overhead.  Our goal is simple – automatically separate the wheat from the chaff for busy email users.  From our perspective, the “wheat” in your Inbox consists of the following:

  • Messages from people you know
  • Conversations you have participated in
  • Email related to your active projects

In v5, we will analyze incoming messages and automatically apply a color-coded categories to the following types of messages:

  • from people in your address book
  • from Important “VIP” contacts, automatically identified during setup or designated by you
  • in threads you’re active in

This represents a fairly significant change from previous releases:

  • imageColor-coded categories are being used in place of our current custom views.  This will take better advantage of Outlook’s category coloring and minimize current infrastructure costs when scoring messages.
  • Contact priority will be simplified to one setting – either the contact is designated as a VIP or not.
  • We will no longer provide views that order messages by priority and/or thread – use Outlook’s native views for this functionality.
  • The Topic name, when there is one, will appear in the category field, but will not be written to a special Topic field.  This will minimize instances of message conflicts.
