Start 2010 Right With ClearContext

Our previous blog post was about the backlog of messages many of us start off with in the new year.  Well, we’re here to help with that! We’d like to see everyone to start the new year by letting the new ClearContext v5 help them take control of their inbox.  And we’d love for you to help us spread the word!

The Post-Holiday Email Blues

The last half of December is always a welcome break from nonstop email, with many people away from work and computers during the holidays spending time with friends and family.  I’m glad to count myself among that dec6jan3emailgroup this year!  ClearContext Online email statistics show that overall people received 1/3 to 1/2 less email than normal over the past couple of weeks. What a relief!

But now it’s 2010 and the first week of January brings with it a return to the normal avalanche of email – as well as a backlog of messages waiting for us.  That’s where ClearContext comes to the rescue!

A lot of the changes in ClearContext v5 are designed to make it faster than ever to clear out overloaded inboxes. Automatic highlighting of your important messages, one-click email filing, and project buttons help you stay on top of everything you need to get done.

Inbox Era

I knew that Jason Clarke and I shared similar ideas on email management when I read his 2005 post If Your Inbox Has More Than a Screenful of Messages In It, You’re Rude.  On his new blog Inbox Era, he again makes the case for clearing the Inbox:

“To truly get a handle on your email communication, you need to have a goal of emptying your inbox regularly. When asked why they do it, most people who keep everything in their inbox respond with, “I can’t delete it; what if I need it?”

The problem with this kind of thinking is that it doesn’t scale. If you are only receiving 5 email messages per day, then sure, you can probably keep everything in your inbox and find the items you need when you need them. But if you start receiving 50 email messages per day, that gets a lot harder, very quickly. I would argue that even if you only receive 5 emails per day, you should still empty your inbox as a habit, because your email volume will invariably increase over time. Good habits are just as hard to break as bad ones are, so instill good ones now.

ClearContext v4 to v5 Upgrade Guide

Happy New Year from the ClearContext team!  Thanks so much to everyone who has upgraded to v5!

There are a number of big changes in ClearContext v5. This post provides information about these changes, links to relevant forum discussions, and a little bit about what we’re working on now.  We hope this will post will answer your questions about v5 and help you get the most out of the software.

We’ve posted a list of changes in v5 on the upgrade page, along with a little more detail in this blog post.  We’ve also (mostly) updated the User Guide.

Key changes in v5

  • user_guide_sharing_selector_cutoutMulti-machine support – if you run Outlook on multiple machines, you can now run ClearContext on all of them at the same time!
  • Multi-mail file support – you can now file to as many different Outlook mail files as you want – see point 7
  • 2010 Support – v5.0 provides provisional support for the Outlook 2010 x86 beta. We’re working on 64-bit support.
  • One-click filing and suggestionsredesigned filing buttons, selector box, and suggestions
  • Smarter threading – v5 takes advantage of Outlook’s conversation ID where available to more accurately connect related messages
  • Message Prioritization – Known and important messages are now marked with “CC OK” or “CC VIP” categories. Set ClearContext >Options >Configuration to use icons or flags for prioritization.
  • Contact Prioritization – Click the Mark Important button on contact records to highlight emails from that person as important.
  • Views – Outlook color categories now take the place of the old ClearContext inbox views, but we’ve provided 3 color-coded inbox views for people who prefer them.  See this forum thread for discussion and to offer suggestions on specific ways you’d like to have v5 organize and display your email.
  • Options – some options in v5 can be configured to work more like v4 if that’s better suited for your personal workflow. Details here.

Coming in v5.1 and v5.2

Some v4 features are being redesigned for v5 and will be in later 5.x releases.

  • FolderContext – The Project Dashboard displays all information that was in the v4 FolderContext.  This functionality will be redesigned for the 5.1 release.
  • Delete upon reply – we’re planning to add this feature to v5.1.  Please add any thoughts/suggestions about how you’d like it to work in this forum thread.
  • File topic – we’re planning to add this feature to v5.1.  Please add any thoughts/suggestions about how you’d like it to work in this forum thread.
  • Notification Managers – Existing Notification Managers will still function, but you can’t edit or create new ones in v5.0.  This functionality is being redesigned to be more powerful and easier to use along with AutoAssign for v5.2.
  • Alerts –  v5.0 does not include Alerts.  This functionality is being redesigned along with Notification Managers and AutoAssign for v5.2.
  • IMAP – We are currently working on IMAP support and will post an update on progress prior to 5.1 release.  We hope to have some level of IMAP support in 5.1, but we won’t know for certain until we get deeper into testing.
  • Office 2010 x64 – similar to IMAP, we hope to support this in 5.1, but we won’t know for certain until we get deeper into testing.

As we’ve written previously, v5.1 will be focused on improved project management and dashboard capabilities, with a new flexible project dashboard UI integrated even more tightly into Outlook.  And v5.2 will focus on comprehensive automated filing to process your newsletters, notifications, and other bulk email with quick setup and reporting capabilities

ClearContext v5 Release Candidate 2 Now Available

Release Candidate 2 (v5.0.1) for ClearContext v5 is now available for download here.

As we posted earlier today, we identified one major issue in RC1 this morning.  We’ve fixed that problem and a few additional minor issues in RC2.  It appears only a small number of users were impacted, but if you installed RC1 and had any issues, please see this forum post or contact support@clearcontext.com for assistance.

Our official 5.0 production release will follow shortly, including updated user guide, other documentation, and information on upgrading.  In the meantime, please give the release candidate a try and post your feedback in the beta forum.

ClearContext Connect Members: You should have already received an email with your v5 Pro license key.  Please contact us if you haven’t received your key.

v4 users who purchased a pro license after August 1, 2009 will also be sent a v5 Pro upgrade key shortly.

Important ClearContext 5.0.0 RC Bug Advisory

We’ve identified an issue with ClearContext Release Candidate v5.0.0 that may cause some contacts to be deleted in certain Outlook configurations.  This issue can occur during Setup when upgrading from v4.6 and earlier.  It does not impact upgrades from Beta 2 to v5.0.0 RC.

For most Exchange users, switching to your Contacts folder and selecting Tools->Recover Deleted Items should allow any affected contacts to be restored.

If you have been affected by this issue, please email support@clearcontext.com as soon as possible for assistance.  We advise not to connect or sync Outlook with other PCs or devices before fully backing up your contacts from them.

We have pulled down the 5.0.0 build and will have a fixed release up as soon as possible.  Please wait for that build to install ClearContext v5.0.  Our sincerest apologies to anyone affected by this issue.

ClearContext v5.0 Release Candidate Available

Managing Your Outlook Email Like Fred Wilson

Prominent VC/blogger Fred Wilson gets a ton of email.  In this blog post he describes how he “just spent four hours going through my inbox and taking it from 500 emails to zero.”

Fred uses Gmail, but the general techniques he uses to keep on top of email can be used by anyone. At ClearContext we’ve found techniques like these to be key parts in a successful email workflow process, and the MS Outlook team recently posted some similar thoughts on email best practices.

Here’s how ClearContext automates and enhances key pieces of these techniques to let Microsoft Outlook users take advantage of Outlook the way Fred uses Gmail – and get through the email even faster!

The first step Fred mentions is “quickly check off and delete all spam in my inbox at least once and ideally twice or three times a day.”

ClearContext highlights messages from known senders and VIP senders.  This lets you easily scan through all your unsolicited messages and quickly get rid of all your unwanted/unimportant email.  Features like AutoAssign and Unsubscribe automatically move all emails from specific senders or threads out of your inbox.

Fred’s next step is to “scan my inbox for emails from my top priorities; wife, family, partners, colleagues, portfolio, etc.”

This is another place ClearContext shines.   It automatically analyzes your email activity to highlight email from your most important contacts, so you can easily pick them out of the mass of email.

There’s one thing Fred wishes Gmail did better – highlight email from his most important contacts. “I can’t for the life of me understand why they don’t build a tool to source up all of those emails automatically. Please build that feature google.”

We’ve already built that for Outlook users by not only highlighting email from the most important people in your life, but also providing optional views that can move those messages to the top of your inbox!

Fred mentions a few other points in Gmail that he loves.  “Send and archive is so awesome”

We agree. The File Original Message” feature in ClearContext lets you automatically move messages out of your inbox once you reply to them.

Like many people, Fred is a fan of Gmail’s conversation threading and writes “now i love it and could not do email without this feature”

In ClearContext we provide two ways to take advantage of conversation threading (and other features slowly inching their way into Outlook). First, we provide a threaded view that groups messages in a conversation together in your inbox.  Additionally, MessageContext adds an expandable pane to each email to display other messages in the thread.

There’s one place where Fred differs from most of our users. “i’ve never used a to do list… it’s not part of my routine”

However, I’m sure he does use a calendar. For both of those things, one-click task and schedule buttons convert emails into to-do items and calendar entries. The emails can be moved out of your inbox, while still maintaining a link from your to-do list or appointments to the original email thread.
