Taking a Virtual Break

Over the weekend, TechMeme pointed me to an interesting piece in the New York Times.  In a lot of ways, I have the same problem as Mark Bittman; namely:

"…I had developed the habit of leaving a laptop next to my bed so I could check my e-mail, last thing and first thing. I had learned how to turn my P.D.A. into a modem, the better to access the Web from my laptop when on a train. Of course I also used that P.D.A. in conventional ways, attending to it when it buzzed me.

In short, my name is Mark, and I’m a techno-addict."

Mark’s solution was to enforce a technology free day (or two) for the last few months.  And while he eventually found the benefits to be extremely rewarding, it wasn’t easy:

"On my first weekend last fall, I eagerly shut it all down on Friday night, then went to bed to read. (I chose Saturday because my rules include no television, and I had to watch the Giants on Sunday). I woke up nervous, eager for my laptop. That forbidden, I reached for the phone. No, not that either. Send a text message? No. I quickly realized that I was feeling the same way I do when the electricity goes out and, finding one appliance nonfunctional, I go immediately to the next. I was jumpy, twitchy, uneven."

That, IMO, is exactly why taking a break or going through some sort of detox can be a good idea. 

Merlin Mann at 43 Folders nails it though, when he says the problem is not the technology but the way we use it:

"Let’s be brutally honest, here — I can “work” at my computer for 10 hours and do nothing but dick around with Wikipedia and YouTube. Heck, even if I do “work stuff” like email and “research,” I can easily trail off in a hundred directions that have nothing to do with my initial task. Is that the fault of the computer and the internet? Maybe, kinda. But, no more so than I can reasonably blame this crappy hammer for that awkward birdhouse I built. Stupid hammer."

Both articles are really interesting reads, if only to get you thinking about how and why you use technology.

Can’t Wait to Put Things Off?

Craig Kennedy forwarded this interesting article from the Globe and Mail.  Researchers at Northwestern University have found a link between two seemingly disparate personality traits – procrastination and impatience:

"In sum, said the study, highly impatient individuals are overly keen to engage in activities where they get what they want right away and pay the costs later, but they procrastinate when they have to put in the effort up front in order to get benefits down the road."

Dr. Ernesto Reuben, one of the co-authors of the study, suggests that the procrastinators could benefit from technology designed to help keep them focused:

‘This could be addressed by giving them the right tools, such as e-mail programs that emphasize "important" messages "because a procrastinator will easily get distracted and start reading non-important e-mails.’

Pilers vs Filers

Jason Clarke at downloadsquad has posted his take on why Inbox pilers are rude:

Right now, many of you with overflowing inboxes are probably screaming at your screen. How can we be so bold as to assume that we know if you’re on top of your email or not based on this simple criteria? … So why bother filing things at all?

Okay, we hear you, and understand your position. But there’s really no gentle way to say this, so we’re just going to come out and say it.

You’re wrong.

He goes on to make a well thought out argument for filing away messages as you act on them and using technology to help automate the process.  If you’re still a piler, it’s worth a read to see if Jason can convince you to start filing.

MacLean’s – Sshh: Men at Work

MacLean’s published an article last week on Intel’s quiet time pilot.  I like this idea a lot better than Email Free Fridays:

‘Quiet Time, which began in September, happens each Tuesday at two of Intel’s U.S. sites (they won’t reveal exactly where). From 8 a.m. to noon, the 300 engineers and managers in the test group set email and instant messaging to off-line mode, forward all calls to voice mail, and hang “do not disturb” signs at their cubicle entrances. They’re then free to do “thinking work,” says Intel IT principal engineer Nathan Zeldes, the man behind the project. “These guys are designing products, so I would hope they’d devote it to that,” he says. “Although I’m sure some of them are tempted to clean out their inboxes.”‘

This is basically institutionalizing the Succeed step of the IMS process; forcing employees to block out times of the day to focus on project based work rather than responding to constant interruption.  And it’s clear from the article that this type of break from the outside world is required to get real work done:

‘Today’s knowledge workers can expect just three minutes of uninterrupted work on any given task, suggests research from Gloria Mark and Victor M. Gonzalez at the University of California, Irvine. “It’s bad for innovation,” Mark says. “To be able to think very deeply, you do need quiet time.”‘

Three minutes?  I suspect this is why all my most creative ideas come when I’m walking to work rather than when I’m sitting at my desk.

A Small Change for Enormous Productivity Gains

Take a moment to think about how quickly you really need to respond to email…  Now, how often do you check email?  My guess is that there’s a big disconnect.

Here’s a quick tip guaranteed to boost productivity – change the frequency that Outlook checks for new email.  In Office 2003 and earlier, by default, Outlook checks for new email every five minutes.  Studies have shown that it can take 15 minutes to refocus on work after replying to an email.  Setting Outlook to check for new messages every five minutes (or even 30, the default in 2007) is effectively killing your ability to concentrate.

To change this behavior, go to Tools > Send/Receive > Send/Receive Settings > Define Send Receive Groups:

POP Users – Under Setting for group “All Accounts,” change the value for Schedule an automatic send/receive every to the maximum amount of time you feel you can wait to receive an important email.  I recommend 60 minutes at a minimum.

Exchange UsersWhen Outlook is Offline, enable the automatic send/receive schedule and set this to the time you choose.  Then take Outlook offline by going to File > Work Offline.  One caveat; this will also delay the synchronization of your calendar – if you work in an environment where your Exchange appointments are constantly shifting I do not recommend this change. 

A final note – don’t forget to take advantage of Do not Disturb for those times when you really need to focus on your projects for long periods of time without interruption.

Task Reminders

A quick tip…  If you are using IMS task functionality, you may want to adjust Outlook’s task reminder default settings.  Go to Tools > Options:

  • The reminder time is the default notification time Outlook uses when creating new tasks.  This is also the default time that IMS uses for Defer.  I suggest setting this to an hour after you normally start your day, giving you the chance to identify your most important items prior to the alarms going off.
  • Click the Task Options for additional preferences.  I personally prefer that "Set reminders on tasks with due dates" is unchecked.  I then manually set task reminders for my really important, time sensitive tasks.

How Bill Gates Uses Office

Bill GatesMicrosoft has posted how Bill Gates Office 2007 throughout the day.  Not surprisingly, Bill spends most of his time in Outlook:

"I spend the majority of my time communicating with colleagues, customers, and partners. As a result, Outlook is the application that I use the most. I receive about 100 e-mail messages per day from Microsoft employees, and many more from customers and partners."

"It’s very important that I hear what people think about our products and our company. Yet I need to balance that against the very real risk of information overload from all the e-mail that I receive."

At least Bill has the luxury of assistant(s) to help out.  Read the rest of the post for other interesting tidbits (for example, he just started using tasks in Outlook this year…).

Simply GTD: Digging out from an email landfill

After Thanksgiving, GTD coach Kelly Forrister had 1,155 new emails in her Inbox.  She brought those down to zero in three hours following the 4D’s – Delete, Do, Delegate and Defer.  Read the rest of the article for the detail.

I like Kelly’s style – she recommends really taking the time off when you go on vacation and scheduling extra time when you get back to tackle the inevitable information build-up. 

"First, I knew the morning I got back to work I’d have about 6x more input than normal, so I blocked that extra time on my calendar to give myself the time I would need to get it processed. I think this is essential. There is no way a week of email can be processed in the same time I normally allow. I need a cushion of extra time that first morning back."

I advised something similar in my Vacation Email Triage post:

"I have two more "peace of mind" tips for you.  I have read several recent articles that quote people who feel the need to check email while on vacation to try and avoid the inevitable email crunch.  This is a mistake and should be avoided at all costs.  Email begets email – the more you send the more you get in return.  If you answer the important messages while "relaxing," the result is likely to be the same amount of email when you return.  My advice is twofold:

  1. Block the last day out before you leave to tie up all your loose ends, clear your Inbox, and hit the road with a sense of accomplishment and relief knowing that you got things done before your break. 
  2. Keep your schedule on your first day back clear.  You’ll have a full free day when you return to devote to catching up before everyone realizes that you’re back in business."

Keep that in mind when you take vacation over the holidays this year.
